HausPass Privacy Policy
Last updated: October 28, 2026
HausPass is operated by 1955140 Ontario Inc., operating as Novamentum Consulting ("Novamentum", "we", "us"). This policy explains what personal information we collect through HausPass, why, who we share it with, and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Who is responsible
Our Privacy Officer is accountable for how we handle personal information:
James Mathewson, Privacy Officer

What we collect
Account information. Your name, email address and password (stored only as a secure hash by our authentication provider). Whether you agreed to our Terms and whether you opted in to marketing emails.
Property information. The address of the property you claim. If we ask for proof of ownership or residence, the document you upload (for example a property tax bill or utility bill) and the details we read from it.
Household information. The email addresses of family members you invite, and their names once they create a login.
Home records. The assets you add (such as appliances, systems and devices), their makes, models, serial numbers, purchase details, warranty information, service history, notes, photos, receipts, manuals and warranty contracts.
Requests and claims. Descriptions of problems, service requests, warranty claims and messages you prepare through HausPass, and the service providers you save.
Orders and billing. Your membership plan, billing history, orders, delivery address (your claimed property), member credit balance and tax amounts. Card payments are handled by Stripe; we receive the card brand, last four digits and expiry, but never your full card number.
Support. Messages you send us and our replies.
Technical information. Information needed to keep you signed in and the Service secure, such as session cookies, IP address, browser type and logs of errors and security events. We don't use advertising or cross-site tracking cookies.
Why we use it
- To create and secure your account, and to verify and manage the property you claim.
- To provide HausPass features: storing your home records, reminders, reading photos and documents, preparing service requests and claims, and showing coverage.
- To process memberships, renewals, orders, refunds, member credit and taxes, and to arrange delivery and installation.
- To send service emails, such as email confirmation, receipts, renewal reminders, family invites, order and shipping updates, and important changes to our Terms or this policy. These are part of the Service and you can't opt out of them while you have an account.
- To send marketing emails, only if you opted in. You can unsubscribe at any time using the link in any marketing email.
- To respond to support requests, prevent fraud and abuse, keep records required by law (including tax records), and improve HausPass.
We use only the information we need for these purposes. We don't sell your personal information.
AI processing
When you use features that read photos, receipts or contracts, diagnose a problem, estimate costs or suggest products, the content you submit is sent to Anthropic, our AI provider, to produce the result. Anthropic processes it on our behalf under its commercial terms, which don't permit it to train its models on this content. Avoid including unnecessary personal information (for example, other people's names or account numbers) in photos you upload.
Who we share it with
We share personal information only as needed to run HausPass:
- Service providers who process it on our behalf under contracts that require them to protect it:
- Supabase (accounts, database and file storage)
- Vercel (website hosting)
- Stripe (payments, billing and tax calculation)
- Anthropic (AI features)
- Resend (sending emails)
- Suppliers, carriers and installers, who receive the name, delivery address, phone or email and order details needed to fulfil your order.
- Your household. Family members you invite can see your property's records. The property owner can see the family members on the account.
- HausPass partner contractors. When you choose to send a service request or replacement quote request to a HausPass partner, and tick the box agreeing to it, we share your name, phone number, email, service address, your request and the item's details (such as make, model and serial number) with that contractor. They may store it in their own scheduling software (for example Housecall Pro) and will use it to contact you about your request. Their own privacy practices apply to what they hold.
- Warranty providers, manufacturers and service providers you choose to contact. We only send information to them when you ask us to, or you send it yourself.
- Legal and safety. When required by law, or to protect the rights, property or safety of our members, the public or us.
- Business transfer. If our business or HausPass is sold or reorganized, personal information may transfer to the new owner, who must continue to protect it as described here.
Where it's stored
Some of our service providers store or process information outside Canada, including in the United States. Information processed outside Canada is subject to the laws of that country and may be accessed by its courts, law enforcement and national security authorities. We choose providers that use strong security and contractual protections.
How long we keep it
- Account, property and home records: while your account is open. When you close your account, we delete them within 90 days, except as below.
- Billing, order and tax records: for 7 years, as required by Canadian tax law.
- Proof-of-ownership documents: deleted within 90 days after your claim is decided, unless needed to resolve a dispute.
- Support messages: up to 2 years.
- Backups are overwritten on a rolling schedule after deletion.
How we protect it
We use encryption in transit and at rest, access controls that limit each person's data to their own account and household, and restricted staff access. No system is perfectly secure. If a breach of security safeguards creates a real risk of significant harm to you, we'll notify you and the Office of the Privacy Commissioner of Canada as required by law.
Your choices and rights
You can:
- see and update most of your information in the app;
- ask for a copy of the personal information we hold about you;
- ask us to correct information that's inaccurate;
- withdraw consent to marketing emails at any time;
- close your account and ask us to delete your information (subject to the retention periods above).
To make a request, email privacy@hauspass.ai. We'll respond within 30 days. We may need to confirm your identity first. If you're not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Children
HausPass is for adults. We don't knowingly collect personal information from anyone under 18. Family members invited to a household must be 18 or older.
Changes to this policy
If we make material changes, we'll tell you by email or in the app before they take effect. The "Last updated" date shows when this policy last changed.
